Learn the basics of word processing software like Microsoft Word or Google Docs. Discover how to create, edit, save, and share your first document with ease.

What is a Word Processor and How Do I Write My First Document?

A word processor is like a digital notebook and typewriter all rolled into one. It's a special computer program that helps you write, edit, and format text for things like letters, reports, or school papers.

1. What is a word processor?

A word processor is a software application on your computer or phone that lets you create and edit text documents. Think of it as a super-smart digital notepad where you can type words, change how they look, and arrange them nicely.

It's much more powerful than a simple text editor because it offers many tools for formatting. You can easily make text bold, change its color, add pictures, and even check your spelling and grammar.

The most widely known word processor is Microsoft Word, often just called "Word." Many computers come with it or offer it as part of a software package.

Other popular options include Google Docs, which works online in your web browser, and Apple Pages, which is common on Apple devices. There are also free alternatives like LibreOffice Writer, which offers similar features.

3. How do I open a new document?

When you open your word processing app, it often starts with a blank new document automatically. If not, look for a "File" menu at the top of the screen.

Click "File," then choose "New" or "New Document." Sometimes there's also a button that looks like a blank piece of paper. This will give you a fresh page to start typing on.

Starting Your First Document

1

Open App

Launch Microsoft Word, Google Docs, or Apple Pages.

2

Find "New"

Look for "File" menu, then "New" or "New Document."

3

Start Typing

A blank page appears, ready for your words.

4. How do I type and edit text?

Once you have a new document open, simply start typing on your keyboard. The words will appear where your blinking cursor is.

To edit, use the "Backspace" key to delete text to the left of the cursor, or the "Delete" key for text to the right. You can also click and drag your mouse to select words or sentences, then type new text to replace them, or press "Delete."

5. How do I save my document?

Saving your work is very important so you don't lose it. Go to the "File" menu and select "Save" or "Save As."

The first time you save, you'll be asked to give your document a name and choose where to store it on your computer, like in your "Documents" folder. After that, you can just click "Save" regularly, or use the floppy disk icon, to update the saved file.

6. How do I change font size and style?

To change how your text looks, first select the text you want to modify by clicking and dragging your mouse over it. Look for a section in your word processor's toolbar that shows font options.

You'll see a drop-down menu for "Font Style" (like Arial, Times New Roman) and another for "Font Size" (like 12, 14, 16). Click these menus to pick new options. The selected text will change instantly.

7. How do I add bold or italic text?

Just like changing font style, you first need to select the text you want to make bold or italic. Then, look for buttons on your toolbar that usually have a "B" for bold and an "I" for italic.

Clicking the "B" button will make your selected text thicker and darker. Clicking the "I" button will make it slanted. You can often use both at the same time.

Formatting Text: Bold vs. Italic

Bold (B)

Makes text stand out with a thicker, darker appearance.

  • Headings
  • Key terms
  • Important warnings

Italic (I)

Slants text slightly, often used for emphasis or specific types of content.

  • Book titles
  • Foreign words
  • Emphasizing a word
Use for emphasis & visibility
Use for specific content types

8. How do I print a document?

To print your document, go to the "File" menu and select "Print." This will open a print preview window where you can see how your document will look on paper.

You can choose your printer, how many copies you want, and which pages to print. Once you're happy with the settings, click the "Print" button. Make sure your printer is turned on and connected.

9. Can I share my document with others?

Yes, absolutely! Word processors make sharing very easy. You can save your document and then attach it to an email, just like you would with a photo.

If you're using an online word processor like Google Docs, you can often share a link directly with others. They can then view or even edit the document, depending on the permissions you set.

10. What is the difference between .doc and .docx?

.doc and .docx are both file extensions for Microsoft Word documents, but they represent different versions. .doc is an older format, used by Word versions up to 2003.

.docx is the newer, more common format, introduced with Word 2007. It's generally smaller in file size and more robust. Most modern word processors can open both, but .docx is preferred for compatibility and features today.
